4. Making and answering calls
Functions
XXXX = Call an extension number
R XXXX = Transfer to an extension number
R *1 = Reconnect to call
# 9 XXXX = Divert to an extension number
# # 9 = Cancel call diversion
R # 1 = Call back when number is available
# # 1 = Cancel call back
* * 3 = Call pick up in same pick up group
* 3 XXXX = Call pick up from different pick up group
Internal calls
A single ring tone. Pick up and say your name and division.
External calls
A double ring tone. Say your name and ACME. If answering a colleague’s say eg “John Brown’s phone, ACME” and take a message.
Outside line
Dial 9 and then the number, including STD code.
Manager/Personal Assistant
• managers have two lines: one public – diverted to their personal assistant – and one private
• managers log on to their own private number
• PAs log on with their own extension
• PAs transfer calls in the normal way: # 9 (EXTN)
• managers can pick up calls themselves from their public line, and PAs can pick up calls to the private line, by dialing the group pick-up **3
• if a PA isn’t logged on calls will go to their manager’s voicemail, which appears in their Outlook inbox and is visible to the manager and the PA
• if a manager is logged in but away from their desk for some time a message will advise the caller to dial 0 to speak to their PA
