Overview

If you are ill and unfit for work you should take sick leave – not annual leave. It is important that all absences are recorded properly on Oracle. Development managers, supported by HR are responsible for managing sickness absence of their staff (including ensuring the recording and monitoring of sickness absence levels).

Doctor, dentist and hospital appointments

If you can, you should make appointments in your own time. Where this is not possible, appointments should be arranged either early or late in the day to minimise your absence from the office.

If you need to be regularly absent from the office to attend a course of treatment, you must inform your Development Manager. Regular absence not exceeding 4 hours a week may be approved on the production of an appointment card or medical evidence. If the absence is longer than that, the periods of absence will be aggregated and recorded as sick leave.

Sickness while at work

If you become unwell whilst at work and go home with your Development Manager’s agreement that day will not count as sick leave.

Short-term self-certified absence

If your sick absence has lasted no longer than 7 calendar days you should record it on Oracle on your first day back at work. You don’t need a medical certificate.

Sick absence longer than 7 days

You must obtain a medical certificate signed by your GP to support the period of your sick absence. You should forward any certificates to your Development Manager immediately.

On your first day back at work you should record your absence on Oracle and supply your Development Manager with any remaining certificates to support the total period of your absence.

All medical information will be treated in the strictest confidence.

Falling sick during a period of annual leave

If the period of incapacity seriously interrupts your annual leave (for example 4 days or more) you should contact your Development Manager. The period of sickness will then be recorded as sick leave provided you supply appropriate supporting certification as set out above.
