Departmental signature

In Outlook follow the path:

File > Options > Mail > Signatures

  1. If you don’t have an email signature, select ‘New’. If you have one that you want to amend, select ‘Edit signature’
  2. For new signatures, give the name ‘Departmental signature’
  3. Copy and paste the signature block from approriate Word document – choose ACME or GEO, roll your mouse over to pick up the entire block:

  4. Edit the details within the signature block to reflect your name, role and phone number
  5. Don’t change the font, size or colour in any way – this is for consistency across all emails sent by the department
  6. Click OK
  7. Choose ‘default signature’ to set this signature on new messages and replies

 

Personal signature

Set up a second signature, named ‘Personal’, to use on any personal emails you send from your ACME email account. Include this disclaimer:

“This email is personal. It is not authorised by or sent on behalf of the sender’s employer. This email is the personal responsibility of the sender.”

You can change between the two signatures following the path Insert > Signature
